Question 1: An academic library is conducting a collection assessment to better align its resources with the university's new focus on data science. Which collection analysis method provides a standardized framework for describing collection strength and collecting intensity, making it particularly useful for cooperative collection development and identifying subject-area gaps?
- The CREW method
- Citation analysis
- The Conspectus method (Correct answer)
- Interlibrary loan data analysis
Correct answer: The Conspectus method
The Conspectus method is a standardized tool used to evaluate library collections by mapping subject strengths and weaknesses. It uses numerical codes to describe collecting levels, which helps in making informed decisions about acquisitions, identifying gaps, and facilitating cooperative collection development with other institutions. While other methods are useful, Conspectus is specifically designed for this type of standardized, comparative analysis.
Question 2: A public library is developing its first comprehensive collection development policy. Which of the following is the MOST critical component to include in the policy to guide the selection of new materials?
- A complete list of approved vendors and publishers.
- Specific circulation goals for each collection area.
- Detailed procedures for cataloging new acquisitions.
- Criteria for the selection and evaluation of resources. (Correct answer)
Correct answer: Criteria for the selection and evaluation of resources.
A collection development policy's primary function is to provide guidance for staff on how to select and deselect resources. Including clear selection criteria—such as relevance to community needs, authority, scope, and format—is the most critical element for ensuring a consistent, balanced, and relevant collection that serves the library's mission. While vendor lists, circulation goals, and cataloging procedures are important operational details, the selection criteria form the foundational principles of the policy.
Question 3: A librarian is weeding the nonfiction section on computer software. Using the CREW method, which of the following criteria would be the STRONGEST justification for removing a book published three years ago?
- The book is a first edition.
- The book has not circulated in the past year.
- The information has been superseded by a new version of the software. (Correct answer)
- The book's cover is showing minor wear.
Correct answer: The information has been superseded by a new version of the software.
The CREW (Continuous Review, Evaluation, and Weeding) method uses the acronym MUSTIE to help guide weeding decisions. 'S' stands for Superseded, meaning the material has been replaced by a new edition or a better source. In a rapidly changing field like computer software, a book about a previous version is often inaccurate or irrelevant, making it a prime candidate for weeding, regardless of its circulation history or physical condition.
Question 4: When a library user requests an item through interlibrary loan (ILL), what is the fundamental responsibility of the requesting library according to the ALA's Interlibrary Loan Code for the United States?
- To lend its own materials as freely as it borrows.
- To verify that the user has no overdue fines before processing the request.
- To obtain materials for a user that are not available in the local library. (Correct answer)
- To acquire a permanent copy of the requested item for the collection.
Correct answer: To obtain materials for a user that are not available in the local library.
The stated purpose of interlibrary loan, as defined by the ALA's Interlibrary Loan Code, is to obtain material for a library user that is not available in their local library. While being willing to lend is a principle of the mutual relationship, the core purpose of an individual transaction is to fulfill a specific user's need for an unavailable item.
Question 5: A university library is experiencing significant challenges related to managing its large portfolio of electronic resources, including databases and e-journal packages. Which of the following is a challenge uniquely associated with managing e-resources compared to print collections?
- Ensuring materials are properly cataloged for user discovery.
- Negotiating licensing agreements and authentication methods. (Correct answer)
- Tracking usage statistics to justify expenditures.
- Making decisions about preservation and long-term access.
Correct answer: Negotiating licensing agreements and authentication methods.
While cataloging, usage tracking, and preservation are concerns for all formats, the management of electronic resources introduces the unique and complex challenges of negotiating licensing agreements, which dictate terms of use, and implementing reliable authentication methods (e.g., IP filtering, proxy servers) to provide access to authorized users. These aspects are not part of managing traditional print collections.
Question 6: A new school librarian wants to ensure the collection effectively supports the curriculum and student needs. What is the most logical first step in this process of collection assessment?
- Begin weeding outdated materials based on publication date.
- Purchase a list of award-winning books.
- Conduct a needs assessment to identify gaps and stakeholder priorities. (Correct answer)
- Implement a new automated circulation system.
Correct answer: Conduct a needs assessment to identify gaps and stakeholder priorities.
A needs assessment is a systematic process of identifying the gaps between the current state of the collection and the desired state based on the needs of the community (students, teachers) and institutional goals (curriculum). This process provides the essential data to make informed decisions about selection, weeding, and resource allocation. Starting with a needs assessment ensures all subsequent collection management activities are purposeful and aligned with user requirements.
