I manage HubSpot for a SaaS company and I'm prepping for the HubSpot Administrator certification. I know the platform well from daily use — CRM configuration, properties, workflows, pipelines — but I'm finding the exam covers some areas in more depth than my day-to-day work touches.
The sections on data management, permissions architecture, and account security feel like they could go deep in ways my hands-on work hasn't fully prepared me for. Is the exam mostly testing practical configuration knowledge or does it go into conceptual understanding of the underlying data model too?
I'm also wondering about the portal audit and data cleanup sections — those feel important but I haven't found great study resources specifically for those areas. Anyone who's passed recently and can share what was actually hard on the exam versus what was easy would save me a lot of time.
I passed last month. The exam felt more conceptual than I expected given how practical HubSpot usage usually is. Budget extra time for the data governance and security sections — those were the areas where people in my cohort who failed got caught out, not the workflow or pipeline configuration questions.
The portal audit section is actually pretty manageable once you understand the framework. HubSpot Academy has a specific lesson on portal health and data hygiene that maps directly to those questions. Watch that lesson twice — it's short but it's exactly what they test.
Permissions architecture was legitimately hard for me. The team vs. user vs. role hierarchy, and specifically how access controls propagate down, requires understanding the system logic rather than just knowing what buttons to click. I got several questions where I had to reason through scenarios I'd never specifically encountered.
The data model questions go deeper than most daily users encounter. Understanding how contacts, companies, deals, and tickets relate at the object level — and how property inheritance and associations work — is tested more rigorously than you'd expect. Review the HubSpot Academy object model documentation specifically.
